Health network reclaims 55% of its simulation administrative capacity
A regional health network with a multi-site simulation program replaces a decade-old custom system with one connected operations platform.
Context

A regional health network operates its sim program across:

  • 14 sites
  • 16 buildings (hospitals and clinical spaces)
  • Over 20 dedicated simulation rooms and many more in-situ spaces
The challenge

The regional simulation program outgrew the custom operations system it had used for more than a decade.

Rather than replace the old system feature for feature, they worked with Simuhealth to rethink its workflows and processes.

One connected workflow

Together, the health network and Simuhealth redesigned the entire “online” operations process while ensuring that existing offline processes were maintained. That spans:

  • Simulation intake requests
  • Schedules
  • Management of resources
    • People (staff, educators and learners)
    • Spaces and rooms
    • Equipment
  • Operations data and reporting

All these processes - once reflected in separate IT systems - were now linked together in Simuhealth. The new, integrated workflow reduces manual coordination.

Simuhealth provides instant reporting and clearer ops visibility across sites, resources and programs - and allowed the old system to be retired.

The impact

The health network estimates that Simuhealth reduced its dedicated simulation administrative workload by 55%.

That saved effort is redirected towards program development, facilitator support and other higher-value work.

“This app is amazing. I’ve been using it and it has saved us a huge amount of time. We are saving 55% of our admin workload. You folks have done such an amazing job.”

With the time savings, their sim program is now able to:

  • Reduce request time to approve bookings from a monthly basis to daily reviews
  • Facilitate and expand support to 5 additional simulation sites in Simuhealth
  • Reduce operational reporting from 10 hours per week to less than an hour per week
  • Provide leadership with current data on demand, utilization, learner activity or resource gaps
